1. Contract Policy

By booking a trip with Travel on Purpose, you agree to the terms and conditions outlined here and in the Travel Packet for your tour. Your booking will be accepted on this basis.


2. Privacy Policy

We will use any personal information we collect about you solely for purposes related to operating your trip. By making this booking, you consent to us sharing this information with relevant parties, such as our service providers or suppliers, to facilitate your trip or to send you updates and information about our events.


3. Deposit Requirement Policy

To confirm your booking, a non-refundable deposit is required per person, per trip.


4. Acceptance of Booking and Final Payments Policy

Your booking will be confirmed through an email, establishing a contract between you and us. Please refer to your booking details for payment schedule and instructions. If payments are not received by deadlines, we reserve the right to consider your booking canceled.


5. Prices and Surcharges Policy

Our trip prices are subject to variable and seasonal pricing, a common practice in the travel industry. Prices may fluctuate based on demand, market conditions, and availability. Once you have paid your deposit, any subsequent discounts or price reductions will not apply to your booking.

We reserve the right to apply surcharges up to 90 days before departure if there are unfavorable changes in exchange rates, increases in airfares or transportation costs, local operator costs, or taxes. Any surcharges will be applied before your final payment is due.


6. Your Details  Policy

You must provide all requested travel details along with the final payment of your trip. Required details may vary depending on the trip but typically include your full name as it appears on your passport, date of birth, nationality, passport number, passport issue and expiration date, international flight information, food allergies, a liability form and any pre-existing medical conditions.


7. Cancellation by You Policy
We strongly recommend purchasing cancellation insurance at the time of booking to protect your investment. In addition, when booking your flight, be sure to book a fare that allows for cancellations or changes.

 
  • Deposit: Your deposit is non-refundable.
 
  • 120 Days or more before departure: 50% of the amount you've paid (minus the deposit) can be applied toward a future trip.
 
  • 90 Days or more before departure: 25% of the amount you've paid (minus the deposit) can be applied toward a future trip.
 
  • 60 Days or more before departure: No refund or credit of any kind.
 
  • NO REFUNDS: If you leave the trip after it has started, fail to join it, join after the departure, or leave before its completion, no refunds or credits will be issued for unused services.
 

    8. Cancellation by Travel on Purpose
     
    • Guaranteed Departures: Trips are guaranteed to depart 90 days in advance. If we cancel your trip, you can either transfer the amounts paid to an alternative departure date or receive a refund, except when cancellation is due to a Force Majeure Event (as defined below).
     
      • Cancellation Due to Force Majeure: If a trip is canceled due to a Force Majeure Event, you will have the following options:
       
      • Before the trip starts:
        • Receive a credit or refund (minus any unrecoverable costs)
      • After the trip has commenced:
        • Receive a pro-rata credit or refund (minus any unrecoverable costs) for unused days.
       
      • Definition of Force Majeure Event: A Force Majeure Event refers to situations beyond reasonable control that make it unsafe or unfeasible for a trip to begin or continue. These include, but are not limited to:
        • Natural disasters (e.g., earthquakes, floods, extreme weather).
        • Acts of God, war, riots, civil unrest, or blockades.
        • Epidemics, pandemics, or other public health emergencies.
        • Government actions (e.g., new laws, regulations, or orders).
        • Other unforeseeable events beyond the control of the parties.
       
      • Important Notes on Cancellations:
        • In the event of a cancellation, neither party will claim damages against the other.
        • We are not responsible for incidental expenses incurred due to your booking, such as visas, vaccinations, travel insurance excess, or non-refundable flights.
       
      • Credits in Lieu of Refunds: In some cases, you may be offered a credit instead of a cash refund. Credits:
        • Do not have an expiration date.
        • Can be applied to any available trip we offer.
        • Are not transferable to another person or redeemable for cash.


      9. Booking Amendments Policy
      Transfers to another person or an alternative trip are allowed only when operationally feasible. For transfers to another person, the transferee must meet all the trip requirements. Additional fees may apply.
      No changes or amendments to your booking are permitted within 90 days of the departure date.


      10. Age & Health Requirements Policy
       
      • Minimum Age: The minimum age for most of our trips is 18 years old at the time of travel, but some trips are available to younger travelers. A legal guardian must accompany travelers under 18 or, if the legal guardian cannot travel, by an escort over 18 appointed by the guardian. The legal guardian or appointed escort is responsible for the day-to-day care of the underage traveler. If an escort is appointed, the legal guardian must complete and sign a document delegating their authority.
       
      • Maximum Age: There is no upper age limit for most of our trips. However, please note that our trips can be physically demanding, and participants must ensure they are fit enough to fully participate. While we can provide information on mandatory health requirements, we are not medical professionals. You are responsible for seeking detailed medical advice at least three months before departure to meet the latest health requirements and recommendations for your destination.


      11. Waivers and Liability Forms Policy
      All participants for our trips are required to complete our liability form. In addition, certain trips or excursions, may require additional documentation, such as a waiver, release form, or terms specific to a particular activity, transportation, or accommodation.
      Please note that participation in such activities may be denied if you do not sign the required waiver.

      If there are any inconsistencies between these Booking Conditions and the supplemental waiver, the terms of these Booking Conditions will take precedence.


      12. Passports and Visas Policy
      You are responsible for obtaining and carrying all required documentation and identification for entry, departure, and travel to each country or region on your itinerary. This includes a valid passport, visas, permits, certificates (such as vaccination or medical certificates), and any travel documents required by us or the relevant authorities.


      Your passport must be valid for at least six months beyond the last date of travel, as indicated on your itinerary. It is your responsibility to ensure that you have the blank page requirement for the country you're visiting before travel.

      It is your responsibility to obtain all necessary documents, visas, and permits before the trip begins. You are solely responsible for any costs incurred due to missing, invalid, or incomplete documentation.

      Additionally, you agree to cover any loss or expense we incur as a direct result of your failure to secure or present the required travel documentation.


      13. Travel Insurance Policy
      Travel insurance is required for some of our trips. Check the trip details to understand the requirements for the trip you are signing up for. Even when travel insurance is not required, it is still strongly encouraged. Travel insurance is readily available at affordable prices. Policies can be purchased online through Allianz, Trawick, Travelex, and more. Some credit card companies also include travel insurance coverage.

       
      • When travel insurance is required: Your insurance must cover personal accidents, illness, death, medical expenses, and emergency repatriation. We also strongly recommend that your policy includes coverage for cancellation, trip curtailment, personal liability, and loss of luggage and personal belongings. Before your trip, you must provide your travel insurance policy number and the insurance company's 24-hour emergency contact number. You will not be allowed to join the trip without these details. In order for travel insurance to cover pre-existing conditions, generally it must be purchased within 14 days of booking. If your travel insurance is linked to a credit card or bank account, ensure you have the insurer’s name, policy number, and emergency contact information, as the bank or card details alone are insufficient.
       
      • When travel insurance is not required: You will be required to sign an Insurance Waiver Form acknowledging that you assume all responsibility for personal accidents, illness, death, medical expenses, emergency repatriation, trip cancellation, trip curtailment, personal liability, loss of luggage and personal belongings.


      14. Change of Itinerary Policy
      The nature of this type of travel requires flexibility, and you should be prepared for possible changes. The provided itinerary represents the planned activities, but routes, schedules, itineraries, amenities, and transportation methods may be altered without prior notice due to local circumstances or events.
      While we aim to operate trips as described, we reserve the right to modify the itinerary.
       
      • Before Departure: If we make a major change to your trip, we will notify you as soon as reasonably possible if time permits before departure. A "major change" is defined as one that affects at least one day in five of the itinerary. In the event of a major change, you may choose to: (a)Accept the change, (b) Receive a refund of money paid for the land portion of the trip only, or (c) Accept an alternative trip offered.
       
      • After Departure: We reserve the right to adjust the itinerary after departure due to local circumstances or a Force Majeure Event. Any additional costs resulting from these necessary changes will be your responsibility.
       
      • Important Note: We are not responsible for incidental expenses incurred due to itinerary changes, such as visas, vaccinations, or non-refundable or non-changeable flights.


      15. Group Leadership and Conduct Policy

      All trips are led by a group leader whose decisions are final on matters affecting the safety or well-being of travelers or staff. If you fail to follow the group leader's instructions or disrupt the group's well-being or mobility, the leader has the authority to remove you from the trip immediately without a refund. Additionally, we may choose to prohibit you from participating in any future trips.

      You are required to comply with the laws, customs, currency regulations, and drug policies of all countries visited during the trip.


      16. Adventurous Travel and Personal Risk Policy

      By participating in this trip, you acknowledge that it may involve an element of adventure and personal risk. You may visit locations where political, cultural, and geographical factors pose greater risks and physical challenges compared to daily life.

      We rely on information from government foreign departments and local contacts to assess the safety and feasibility of the itinerary. However, it is your responsibility to familiarize yourself with all relevant travel information, including health risks and the specific challenges of your itinerary.

      By deciding to travel, you confirm that you have considered this information and accept the personal risks associated with the trip. To the fullest extent permitted by law, we do not accept liability for these additional risks.


      17. Liability and Third-Party Responsibility Policy
       
      • Limited Liability: We are not liable to you or any other person for any loss, damage, or injury (direct, indirect, or consequential) arising from any act or omission by us, whether negligent or otherwise, in connection with the services provided or any matter relating to these Booking Conditions. This exclusion applies unless the loss or damage is a direct result of our fraud or willful misconduct. If the law implies a warranty into these Booking Conditions that cannot be excluded, our liability is limited to either re-supplying the services or paying the cost of re-supplying the services.
       
        • Indemnification: You agree to indemnify us, including our subsidiaries, employees, contractors, and agents, against any losses, claims, actions, proceedings, damages, costs, or expenses (including legal fees) arising from: (a) your access to or use of our services (or that of your delegate), (b) any breach of these Booking Conditions or additional service terms by you (or your delegate). This indemnity does not apply where the loss or damage results directly from our fraud or willful misconduct.
         
        • Third-Party Suppliers: We work with a network of third-party suppliers, including activity providers, accommodation providers, airlines, transport companies, guides, contractors, and other entities to deliver trip services. While we take reasonable steps to select reputable suppliers, we are not responsible for their acts or omissions. Services provided by third-party suppliers may be governed by their terms and conditions, which may include limitations or exclusions of liability. You may be required to agree to these terms. Third-party suppliers operate under the laws of their respective countries. We do not guarantee their compliance with the laws of your country of residence or any other jurisdiction. We are not responsible for disputes between you and any third party. Such matters must be resolved directly with the third party involved.


        18. Optional Activities Policy
        Optional activities not included in the trip price are not part of your trip package or this contract.

        Any assistance, recommendations, or advice provided by your group leader or local representative to arrange optional activities—whether before, during, or after the trip—does not make us liable for those activities in any way. The contract for any optional activity is solely between you and the activity provider.


        19. Complaints Policy

        If you have a complaint during your trip, please inform your group leader or local representative immediately so they can address the issue promptly. If your complaint is not resolved to your satisfaction, you may submit a formal complaint in writing to the email address you used to book your trip. This must be done within 30 days of the trip's conclusion.


        20. Updating of Terms & Conditions Policy

        Travel on Purpose reserves the right to update and/or alter these terns and conditions at any time. It is your responsibility to be familiar with these terms and conditions.
